Xipp for Zoom

Schedule candidate interviews in Xipp as Zoom meetings. Xipp creates the meeting on your Zoom account, sends the candidate the join link, and keeps the meeting up to date when plans change.

What the app does

  • Creates the interview meeting. Each live interview you schedule in Xipp is created as a scheduled Zoom meeting on the connected Zoom account, with the interview title, date, time and duration.
  • Shares the join link. The candidate receives the Zoom join link in the interview invitation Xipp sends. The meeting also appears in your Zoom account.
  • Keeps it in sync. Reschedule the interview in Xipp and the Zoom meeting moves; cancel it and the Zoom meeting is deleted.
  • Shows its status. The Integrations page in Xipp shows which Zoom account is connected and any problem with the connection.

The app uses Zoom's REST API only. It does not run inside the Zoom client and does not read recordings, chat, transcripts or participant data.

Before you start

  • A Xipp recruiter account, signed in as the company owner (team members with view-only access cannot add integrations). Create one at recruiter.xipp.ai.
  • A Zoom account that is allowed to schedule meetings. Any Zoom plan works; meeting length follows your Zoom plan.
  • Permissions the app asks Zoom for: create, update and delete meetings (meeting:write:meeting, meeting:update:meeting, meeting:delete:meeting) and read your basic profile (user:read:user) to show which account is connected.

Adding the app

From Xipp

  1. Sign in at recruiter.xipp.ai.
  2. Open Integrations in the left menu and choose Zoom.
  3. Click Connect, sign in to Zoom and click Allow.
  4. You are taken back to Xipp and the Zoom card shows Connected with your Zoom account's email.

From the Zoom App Marketplace

  1. Find Xipp in the Zoom App Marketplace and click Add, then Allow.
  2. You are taken to Xipp's Integrations page. If you are not signed in, sign in first and you will be brought back.
  3. Xipp finishes the set-up for your company: approve the Zoom screen once more if asked, and the Zoom card shows Connected.

Using the app

Schedule a Zoom interview

Prerequisites: Zoom shows Connected on the Integrations page, and the job has at least one applicant.

  1. Open Jobs in the left menu and click the job.
  2. Open the Board tab. Each applicant is a card in a column (stage).
  3. Drag the candidate's card into an interview stage, for example Technical Interview, HR Round or Interview. The Offer interview times window opens.
  4. Pick two to five times when you can interview.
  5. Under How is it hosted? choose Zoom (it is the first option when Zoom is connected).
  6. Click Send (it shows how many times you picked, for example Send 2 times). The candidate is emailed a link to pick one of your times.
  7. When the candidate picks a time, Xipp creates the Zoom meeting on your Zoom account. The candidate's card shows Interview booked with a Join button, the candidate gets the Zoom join link by email, and the meeting is listed in your Zoom account under Meetings.

Reschedule an interview

When the candidate asks for a different time (Request a different time on their booking page), the card shows Reschedule requested. Click it and choose Approve: the Zoom meeting moves to the new time and both of you are emailed.

To offer new times yourself, click Offer new times on the card. The current booking and its Zoom meeting are cancelled, and a new meeting is created when the candidate picks a new time.

Cancel an interview

Click Cancel on the candidate's card and confirm with Cancel interview. The candidate is told, and the Zoom meeting is deleted from your Zoom account.

If Zoom is unavailable

If a meeting cannot be created on Zoom (for example, Zoom is unreachable or access was removed), the interview is still booked with Xipp's own meeting link, so the candidate always receives a working link. The problem is shown on the Zoom card in Integrations.

More than one meeting tool

If your company connects more than one meeting or calendar integration, new interviews are booked on the one connected most recently.

Removing the app

From Xipp

  1. Open Integrations and choose Zoom.
  2. Click Disconnect and confirm.

From Zoom

  1. Sign in to the Zoom App Marketplace and open Manage, then Added Apps.
  2. Find Xipp and click Remove.

What happens when you remove it

  • Xipp revokes its access at Zoom and deletes the stored connection, including the access tokens, straight away.
  • New interviews are booked with Xipp's own meeting link instead of Zoom.
  • Zoom meetings already created stay in your Zoom account and their join links keep working. Xipp no longer changes or deletes them; manage them in Zoom.
  • You can add the app again at any time.

Your data

Xipp stores only what the integration needs:

  • The connected Zoom user id, account id and email, to show which account is connected and to process removal.
  • The OAuth access and refresh tokens, encrypted (AES-256-GCM) before they are stored, never shown in the browser or written to logs.
  • For interviews Xipp scheduled: the Zoom meeting id and join link, kept with the interview.

Xipp does not access recordings, chat, transcripts, participant lists or any meeting content, and never stores the host start link. All traffic to Zoom uses TLS 1.2 or higher. Zoom data is never sold or used for advertising.

Removing the app deletes the connection data at once. Interview records, including the meeting link, stay with the interview in your Xipp account. To request access to or deletion of your data, email support@xipp.ai. Full details are in our Privacy Policy.

Troubleshooting

The Zoom card shows "Needs attention"

Zoom stopped accepting Xipp's access (for example, the app was removed in Zoom or the password changed). Click Reconnect on the Zoom card.

I added Xipp from the Zoom Marketplace but nothing happened

Sign in at recruiter.xipp.ai/integrations as the company owner and click Connect on the Zoom card.

"Sign in as the company owner to finish adding Zoom"

Your Xipp user can view integrations but not change them. Ask your company owner to connect Zoom.

The candidate received a Xipp link instead of a Zoom link

Zoom was not connected, or creating the meeting failed when the interview was booked. Check the Zoom card, reconnect if needed, then reschedule the interview.

The meeting did not move after I rescheduled in Zoom

Changes flow from Xipp to Zoom. Reschedule the interview in Xipp, not in Zoom.

Does it cost anything?

The integration is included with Xipp. Zoom meetings follow your own Zoom plan.

Whose Zoom account hosts the meeting?

The Zoom account that was connected in Xipp.

Can candidates join without a Zoom account?

Yes, according to your Zoom meeting settings: they open the join link from the invitation.
